Things to check before you complete the below

The names you enter and the order of the name parts will impact on the matching where an existing directorship has already started.

For example;

 

  Existing Director Details* Verified Identity (Form VIF)

Presently, the above is a mis-match. We will update this webpage if closer matching is introduced for Alternate IDs. It is exact matching and letters and punctuation should be considered like numbers.

The Form VIF could be completed like the below but if you review how the existing director details are on record you can adjust the CORE portal entry accordingly. We will approve the close match manually.

 

 

Adjust the name on CORE so it is exactly like the existing director details on the CRO record. We will manually approve the close match.

Below are some examples of close matches that were approved but also where the adjustment was not taken  into account.The filing of an A1, B1, B10, presently, will be returned for a failure to match if the below applies;

The CRO Staff may not have the time to do advanced searches on names currently on the record that may contain some of the words. Please review the data thoroughly and treat a name like a date of birth.
 

Other things to consider with names
The order of the parts will impact the matching if not thoroughly reviewed.

The above 3 examples will create mis-matches if the parts of the long name are in the incorrect field box i.e. First/Last.
 

The presenter must thoroughly review how the name is presented already in the existing directorship. It may also be the case that the names were presented incorrectly in the Form VIF/CORE entries.
 

Date of Birth
We check to see that the date of birth matches the information provided on the Form VIF.
We do not do full searches on existing directors with a similar name to see if they have the same date of birth.
 

The director/presenter should make sure the date of birth on the CRO record, if a directorship exists, is the same.
